JOB SUMMARY:

Provides clerical and administrative support for the Engineering Services Division

DUTIES AND RESPONSIBILITIES:

  • Prepares reports, memoranda, correspondence, contracts, agreements, forms, agendas, minutes and related divisional documents by typing, electronic filing, record-keeping, data entry and other clerical support as required
  • Provides information and assistance to a variety of internal and external contacts concerning routine Engineering Division matters
  • Assists in the planning, coordination, assignment and supervision of work for part-time clerical staff
  • Administers land management and calls for service software; trains, coaches and monitors users; develops procedures and user guides
  • Prepares and requisitions advertisements in the media
  • Receives, responds or directs public inquiries to the appropriate division
  • Monitors and reports on Engineering Division operational and capital expenditures regularly
  • Monitors project timelines and expenditures and notifies project managers accordingly
  • Assists in the preparation of the annual budget submission for the Engineering Division
  • Maintains Division records in accordance with the City’s Records Management Program
  • Attends division safety talks, crew talks and required safety training; follows safe work procedures; reports hazards, injuries and near misses
  • Maintains professional and technical requirements for the position
  • Performs related duties as assigned

REQUIRED QUALIFICATIONS:

  • High School (Grade 12)
  • Valid B.C. Class 5 Driver’s License
  • Typing Speed of 60 wpm
  • Ability to take dictation and meeting minutes and transcribe from an audio-recording
  • Accredited training (6 months) in computer software and operating systems relevant to administrative support, data management and spreadsheets
  • W.H.M.I.S. Certificate

REQUIRED EXPERIENCE:

  • 1 year related experience
  • Or an equivalent combination of experience and education

 PAY RATE:

This is a union position with the current 2018 pay rate of $28.57 per hour as outlined in the Canadian Union of Public Employees Local 798 Collective Agreement.

HOURS OF WORK:

8:30 am to 4:30 pm Monday to Friday, 7 hours per day, 35 hours per week
